Non Profits - Complete Volunteer Management
System
Client Overview
The client is a premier volunteer service organization for older
adults, who want to remain active, healthy and involved in their
communities by contributing time to improve the lives of others.
They accomplish this by tutoring and mentoring children; by providing
support and companionship to frail elderly and adults with disabilities;
placing volunteers with nonprofit organizations where their skills
and experience enhance the capacity of services to the community.
Business Need
A system needed to be developed to manage Volunteer information,
assign a Volunteer to a particular department, assign the volunteer
a job at a particular workstation, record the hours worked (Timesheets),
and generate various reports that needed to be periodically submitted
to the Government.
Challenges
- The client has been using a product to record this information,
but since there are many departments and each department having
varying information, the product was no more suitable. A system
needed to be built that could handle any number of departments,
considering the variation in the information for each department.
- The system would also be accessed by senior volunteers, so
the user interface was also critical, to ensure that the volunteers
actually use the system.
SABS's Role
SABS studied the actual workflow, and designed a system to
cater to the same.
SABS studied the current system being used and identified and
came up with a solution that addressed:
- Gaps in the functionality provided by commercial packaged
applications
- Aspects of the business process unique to the business
- Business processes for which solutions are unavailable in
the market
SABS recommended a web based system to handle the management
of the volunteers' info, manage the funders, assignment of tasks
to the volunteers, recording entries to the time sheets, calculation
of stipend, etc.
A very important aspect of this system was Report generation.
Since the client needed a large number of reports, the system
was designed to build custom reports, wherein the client was able
to generate reports as required.
